Maintaining Accurate Records of Processing Activities (RoPA)

Before building their privacy program with TrustWorks, Wildlife Studios struggled to keep their RoPA up to date. The fast-growing environment and the high demands on the privacy team made it impossible to build an accurate RoPA.

TrustWorks facilitated smooth onboarding within days, with a rapid migration  of the existing RoPA and making immediate improvements. In just a few days, the Wildlife Studios RoPA was in much better shape, without the need for the privacy team spending large numbers of hours manually reviewing.

It assisted with tasks such as providing guidance on lawful bases, data map discovery, and verifying the completeness of Records of Processing Activities. With the millions of players worldwide and growing month on month, managing DSARs was becoming a time-consuming and resource-intensive process that slowed down the privacy team’s operations.

Smart DSAR Automation

TrustWorks automated DSAR handling, reducing response times and freeing up the privacy team from tedious manual work. With the Privacy Center enabled by TrustWorks, players can now easily submit privacy requests. Apart from bringing great agility into the process, this change allowed Wildlife Studios to build a better relationship with their players, creating a more agile and respectful way to manage their rights.

Wildlife Studios required a partner capable of scaling alongside their rapid growth and providing hands-on expertise to support their evolving privacy needs. Their previous provider lacked the necessary engagement and follow-up, leaving the privacy team without adequate guidance.

After 6 months of building a Privacy Program with TrustWorks, the quantifiable impact and results that Wildlife Studios achieved were remarkable:

  1. 60% Reduction in DSAR Handling Time: By automating DSAR handling through TrustWorks, Wildlife Studios not only reduced their response time but strengthened their commitment to data privacy and contributed to building greater trust with their players.
  2. 100% RoPA completeness: TrustWorks enabled Wildlife Studios to improve their RoPA, passing from 30% to 100% completeness in just a few days. This ensured a more accurate and up-to-date record of their data processing activities. With the previous version of their RoPA there was a large amount of data repositories that had not been mapped,  thanks to TrustWorks Data Mapping  and AI assistant, Wildlife Studios achieved full visibility of data repositories used in the organisation.

Next Steps

Wildlife Studios plans to progress to TrustWorks' AI Governance module for streamline of AI adoption and ensure compliance with the AI Act and the coming wave of AI regulations.

This phase will focus on ensuring the discovery and classification of AI systems, including uncovering and managing Shadow AI, implementing continuous risk assessment and mitigation mechanisms to address vulnerabilities throughout the AI lifecycle, and exceeding transparency and reporting requirements by adhering to the latest governance frameworks and standards.

The first phase will involve using the AI Governance module to conduct risk assessments for an in-house AI tool designed for content moderation within Wildlife Studios’ games. With this tool, the company aims to enhance player experiences while exceeding AI Act requirements and maintaining transparency and trust.
